A hiking club with 117 years of history had a new website approved by its board — and then discovered it didn't actually control its own email, Instagram, or Facebook. The bigger job was governance, not design.

01 — The Problem

The board had approved a new website. In the process of scoping it, a second, bigger problem surfaced: at least three old social accounts were circulating with no one holding the passwords — including the club's original Instagram handle — plus historical Facebook pages and a YouTube channel nobody could access anymore.

That's not a communications problem — it's a governance problem. A club with 117 years of history can't keep depending on the personal credentials of whoever happened to be in charge when an account was created.

02 — The Approach

I wrote a formal digital-identity governance plan for the board, built on one principle: the club only fully controls what is registered in the club's own name. Every digital asset needed to sit on the club's own domain, under documented board custody, and transferable to the next board without friction.

The plan covers four fronts: institutional email on the club's own domain instead of a free Gmail; unified social handles that avoid the word "oficial"; registering the trademark with INAPI before disputing the orphaned accounts; and a permanent governance policy — signed documents and a credential handoff procedure — so this never happens again.

03 — The Build

Alongside the governance plan, I built a custom WordPress theme — no page builder, no paid plugins — with two custom post types: Rutas for hiking routes and Bitácoras for trip logbooks, so the club's own volunteers can publish new content without touching code.

04 — Where It Stands

The governance plan was delivered as a formal document for board review in August 2026; execution runs in phases over roughly five months, since closing out orphaned accounts on Meta and TikTok is a slow process by design, not by delay. The theme is built and functional, pending final content and photography from the club before launch.
